Mail Robots   (What is a Mail Robot?)


 

The only purpose of a Mail Robot is to setup automatic replies

Setup Overview:

  1. Create a Mail Robot account (i.e. test123@yourdomain.com)
  2. Assign a subject and body message for Auto Respond
  3. Mail Robots can also forward the automatic response to another e-mail account or address

Net effect:

test123@yourdomain.com (Mail Robot) will automatically respond to the sender with your pre-set message and, if specified, can forward the same message to another e-mail for notification purposes.

What is the difference between a Mail Robot and an Auto Responder?

 

Creating Mail Robots


1. Click on New Mail Robot under Quick Links

2. Fill in these fields:

  • Mail Robot Name: Select the e-mail account to add the Robot

  • Send Copy to: Enter an e-mail account or e-mail address (optional)
                          (A Mail Robot account can hold only one e-mail.)

  • Subject: Enter the title of the automatic response
                 Enter the message that the Robot will use to reply

3. Click Add

 

Modifying/Deleting Mail Robots


At the Main Menu click on Mail Robots

Delete Account: Select Alias and click on the Delete button

Modifying Accounts: Click on the Modify button

Modifying Mail Robots

  • Send Copy to: Enter an e-mail account or e-mail address (optional)
                          (A Mail Robot account can hold only one e-mail.)

  • Subject: Enter the title of the automatic response
                 Enter the message that the Robot will use to reply

  • Click the Add button


To exit, go to the Main Menu and click Log Out

 

What Is A Mail Robot?

A mail robot is a way for you to send an automatic response to people who send email to a particular address on your domain. You cannot have a mail robot with the same name as any other mail feature on your domain. To set this up, click on 'New Mail Robot' under 'Quick Links.' The mail robot name is the email address that will generate the automatic response. You can specify an address that you want the original message forwarded to in the 'Send Copy To' field. Enter a topic for the message in the 'Subject' field and the automatic response in the text field. Click 'Add' to save the changes.

What is an Auto Responder?

An Auto Responder (Vacation) is simply a way for an e-mail account to automatically reply e-mails with a preformatted message that you set. For example, when you are out on vacation and people send you e-mail, you can let them know that you are not there. The system will receive the e-mail and answer with the message that you are out.

What is the difference between a Mail Robot and an Auto Responder?

A Mail Robot does not count as an additional Mail Account. You cannot check e-mail sent to a Mail Robot, nor can you set it up on an e-mail client (such as Outlook). The only purpose of a Mail Robot is to setup automatic replies and can do nothing more. 

An Auto Responder (Vacation) is simply a feature that applies to real mail Mail Accounts. Therefore, you can check e-mail sent to to the account and it can be set up with e-mail clients like Outlook as well.
